CMS is
an acronym for the Client Management System. Whilst the letters ‘CMS’ abbreviate
the title, this client database can abbreviate your workload.
“Client”
“C” stands
for client, and it is in this area that CMS can really save
you some precious time and effort. CMS allows the Complementary
Healthcare Practitioner to store clients’ personal,
medical and treatment details in a format that is quick to
enter, fast to retrieve and easy to update. There are 10
main screens on which each client’s details can be
entered:

The
clear input areas on these logically structured screens prompt
you to take a comprehensive case history (very important
for insurance purposes) and the details stored can be reviewed
and amended simply and swiftly so that a true and accurate
picture is always at your fingertips. You don’t even
have to remember to click a ‘Save’ button - each
key depression is stored as you type! No more wading through
paper either (although you can produce a hard copy of all
the details held if you wish) because a simple search facility
enables you to quickly access the appropriate client record.
CMS
allows the details of each appointment to build up to form
a precise historical record. This record not only holds the
actual treatments performed and the corresponding treatment
outcomes, but also stores the general medical condition of
the client when they arrived for each appointment, the seats
of pain they were experiencing (represented pictorially),
the after care advice given and the payment made. The general
medical details and the seats of pain can be transferred
from the previous appointment to the current one, saving
repetitious notes, and allowing the client’s condition
to be easily discussed and compared from one appointment
to the next. A built in Consent Form can be tailored as necessary
and printed for signing.
“Management”
“M” represents
management. The fact that CMS can successfully manage your
client records is its greatest and most obvious role, but
CMS can also oversee many other aspects of your business.
The Calendar in CMS allows you to enter diary events as well
as your appointments. You can trust CMS to ensure that you
do not enter an appointment or event that clashes with another.
You can view any day’s schedule in the Calendar at
the click of a button or print your schedule for any date
or date range. CMS can be used to run business reports such
as the full client listing, payments received and payments
pending, and clients that have or have not recently received
a treatment – all useful to monitor the business. Use
the Special Codes to categorize your clients for tailored
mail shots and print the associated client labels. CMS also
allows external files to be linked to a client’s record,
so keeping all data together and easily accessible. You can
communicate quickly with you client too – clicking
a button on the Client Details screen is all it takes to
generate an e-mail or a letter to the client.
“System”
The “S” is
for system, but not just by definition. Of course CMS is
a computer system and yes there is a minimum system specification
(see below), but CMS provides a system for you to perform
a number of tasks.

the Client Management System to store and manage your clients’ appointments,
run your Calendar, supply your clients with their unique
after care advice, print consent forms and payment receipts,
produce gift vouchers, prepare address labels for mail shots,
store and retrieve details of fellow practitioners, run business
reports, reference over 180 medical conditions and access
a web page on which many useful web links have been sourced
for you. And this whole system of client management costs
